Sundance Finale: The Accounting

EDITOR'S NOTE: The following series of emails attempts to explain what all of us to various people following the Sundance trip. Read if you dare. I am currently pursuing my accounting doctorate in an attempt to follow allow.

Okay gang, I'm going to send out a long email that contains all the numbers and how I did it. It may very well seem a bit confusing but just take it one step at a time and it will all make sense. Jayson already did these numbers, and I've talked with him about my breakdown. His numbers actually matched mine, but as far as who owes who what, we differ a little so that's why I'm faxing him and Jeff my numbers. That way we can see if we are all on the same track. I will email you all the long email tomorrow with the numbers okay?

Hey gang, I hope this is simple to follow. It has to be for me to have done it! :)

Jayson, I know your figures had Jacob already accounted for, but for this model I just wanted to break everyone down to make it simple. I'll deal with what he's paid me already.

I basically just kept the condo separate from everything else at first. It is the most costly expense and everything else could be subtracted from that breakdown. We broke down the cost of the condo into price per night. That way it was easy to determine Jacob and Lorraine's portion. At $3000 for five nights/days, that is $600 per night. (Note: I did not discount anyone or charge more for room layout, bathrooms, etc. I just did everything equally. I know we have done that in the past so if we need to we'll adjust that at the end but I think everyone was fine with splitting it since we basically sleep, bathe and bolt!)

Thurday night: 8 people divided by 600 = $75/person
Friday night: 9 people divided by 600 = $67/person
Saturday night: 9 people divided by 600 = $67/person
Sunday night: 8 people divided by 600 = $75/person
Monday night: 7 people divided by 600 = $86/person

So the breakdown:

Mark $370
Magen $370
Jayson $370
Lisa $370
Katie $370
Jeff $370
Marshal $370
Jacob $209
Lorraine $209

Now, according to Jayson's breakdown of expenses (what everyone owes everyone else), it looks as such:

Jayson: $663.60 (pizza, unused tickets, car) Jayson is owed $83.00 per person
Lisa: $188.13 (Liquor, cards, grocery) Lisa is owed $23.51 per person
Jeff: $324.00 (grocery, tix, shuttle for two) Jeff is owed $40.58 per person
Mark: $134.58 (grocery, shuttle for two) Mark is owed $17.00 per person
Marshal: $30.00 (shuttle) Marshal is owed $3.75 per person
Jacob: $60.00 (shuttle both directions) Jacob is owed $7.50 per person

(NOTE: These expenses were divided by eight, excluding Lorraine. Lorraine had a vehicle and also bought her own beer and brought some soup, etc. Since she did share in some of the breakfast foods, etc. I will add a simple figure of $48 to her tab.) Since everyone is ultimately owing me money for rent, I will just deduct $6 from your "tab." (That's Lorraine's $48 divided by eight).

Marshal and Jacob will obviously not be getting money from everyone since none of the amounts that are owed to them are larger than what's owed to the rest of us.

Example: Jacob will subtract $7.50 from $83 dollars... this is what he owes Jayson. He'll subtract $7.50 from $23.51, this is what he owes, Lisa... etc., etc. Everyone (except Lorraine) will follow suit.

I know this is somewhat petty because the amount can be very minimal, but it keeps it as accurate as possible. Most of us are within close proximity to one another, so I'm sure what's owed to Lisa and Jayson, for example, can be just given to one of them (the other will get it).

Ultimately, what Magen and I owe to the likes of the rest of you, I will deduct from your "rent." For the rest of you, I hate to do it but I would rather you figure out your numbers that you owe Jayson, Lisa and Jeff and send them checks. It's just easier that way. Jeff and Jayson will be
more than happy to give you addresses to send them to, K?

Here is what everyone owes MARK:

Jayson: 370 minus 83 x (2)(me and Magen) = $370-$166= $204
$204+$17(expenses) =$221-$6(Lorraine) = $215 total

Lisa: 370 minus 23.51x2(me and Magen) = $370-$47= $326
$326+$17(expenses) = $343-$6(Lorraine)= $337 total
(you've paid me 314.04 already)

Jeff: 370 minus 40.58x2(me and Magen) = $370-$81= $289
$289+$17(expenses) = $306-$6(Lorraine)= $300 total
Katie: $370+$17(expenses) = $387-$6(Lorraine)= $381

Marshal: $370+$17(expenses)-$3.75(Marshal expenses)= $383.25
$383.25-$6(Lorraine)= $377.25 total

Lorraine: $209+$48 =$257

Okay gang. Don't send your money yet. Jayson had a point. It does seem a bit pointless to send everyone checks. I just caught on to the "last" step, meaning I will do one more process of elimination so indeed monies will just be going to Jayson and myself.

Jayson, I did not fax you anything because the original numbers that you had for Jacob and Lorraine were off a little bit. I wanted to start from the ground up as if no one had paid anything yet. I did keep your expenditure totals for everyone. Those would not have changed. I will still fax you those but it is just showing a number on paper unless you want me to send you all the receipts. I don't think we need to go that far back.

Let me do this last calculation and I'll be back with you all.
